Except where noted, these terms and conditions are applicable for both Balgownie Bendigo and Balgownie Yarra Valley properties.

Special note in relation to Balgownie Bendigo –

Guests may experience overnight noise interruptions from onsite wind turbines between September and November – a measure taken to protect our vines against frost damage.

Accommodation Terms and Conditions

Guarantee and Payment Policy

Only persons aged 18 years or over are permitted to make a reservation. Proof of age may be requested at the time of check-in. Guests under 18 years must be accompanied by an adult.

Reservations can be made for up to 5 rooms only online, or directly with the applicable Balgownie property. More than 5 rooms are subject to group booking policies, rates, terms, and conditions. Contact the property directly should you wish to make a group booking.

All reservations must be guaranteed with a valid credit card at the time of booking (this does not constitute payment).

All reservations will be charged in full at the time of booking using the credit card details provided.

Alternative payment arrangements can be made only by contacting the applicable Balgownie property directly.

Balgownie requires a credit card upon arrival to process a preauthorisation of $100 (or $200 cash deposit if you do not have a credit card). This is a holding amount only for any incidentals during your stay. Your banking institution will release preauthorisation (less any outstanding incidental costs) within 5-7 working days of your check out, depending on your bank.

On departure, all guests will be required to pay their own incidental and additional expenses incurred during their stay.

All Balgownie rates are tax inclusive and subject to change. Credit card surcharges are applicable. Please contact Balgownie directly for specific surcharges.

Full prepayment is required for reservations which fall on any special event periods or gazetted public holidays, or to guarantee early bird/advanced rate purchasing offers (when a further discount is offered off our best available rates). In each case – no cancellations or refunds are available, and the bookings are non-transferable.

Selected enhancements are debited to your account on consumption, except for advance purchase reservations.

All Bookings must include the guest’s individual’s first name, last name, a valid personal email address and contact telephone number.

It is the responsibility of the guest to ensure that all booking details are correct. To make any adjustments once the booking is made, please contact the applicable property directly.

Any bookings found not to abide by these terms and conditions may be cancelled with notice.

Third-Party Booking Sites

All bookings made through third-party websites eg Booking.com, Expedia.com and others, are subject to Balgownie’s terms and conditions and privacy policies. Please contact the applicable property directly should you have any queries in relation to these booking types.

Cancellation Policy

Reservations must be cancelled prior to 2pm – 14 days before arrival to avoid cancellation penalties.

Other terms and conditions

Check-In Time – 2pm | Check-Out Time – 10am (Deluxe Spa Suite stays include an 11am check out).

Children 12 years and under stay free with an accompanied paying adult (using existing bedding).

Additional costs are applicable for additional bedding. Where available in the room type, single fold out beds, sofa beds and cots are available for additional guests.

Single fold out or sofa bed – $35 per person per night | Cot – $20 per night

Complimentary self-parking onsite.

Balgownie group properties do not allow pets onsite.

Group Accommodation Terms and Conditions

Group accommodation bookings are required wherever more than 5 rooms are requested in the one booking. To guarantee, Balgownie will issue a group accommodation agreement containing details of the rooms, rates, terms and conditions. Agreed rooms cannot be held for you until this is completed. The reservations team are responsible for managing group booking arrangements.

Balgownie Estate can offer your group up to 10 rooms. Once they are prepaid, or guaranteed with guest information and credit card details, additional rooms may be requested pending availability.

A rooming list is required outlining your specific guests, dates of stay and room requirements. This will be provided to you by our reservations team.

Unless otherwise specified, this agreement covers cost per room, per night, room only. Additional costs apply for extra bedding (eg – double sofa bed, single fold out or cot), or for modified check in/out times pending resort availability. Please note – check-in from 2pm and check-out by 10am.

Breakfast is not included in group accommodation bookings but may be added by guests individually when they call with their credit card details. Breakfast service is available strictly between 7:00 AM and 10:00 AM.

Please ensure you contact reservations directly should you need to make any adjustments to any of the bookings in this agreement.

The person accepting a group accommodation booking agreement will be the lead contact, and responsible for all outstanding financials associated with the accommodation block.

Group accommodation rates equate to our best available rate per room per night (room only) at time of booking and include a 5% discount. You are bound to these rates even if a cheaper rate becomes available closer to your date of stay.

To be eligible for a 10% discount book a private event with us around your stay. Events include private dining lunch or dinner, or a brunch, and beverage package/s for 20 or more guests. Group Accommodation guarantee and payment policy:

If guests are paying individually for their rooms, then we require each guest to contact our reservations team (9730 0700) and provide their full name, phone number, email address and credit card information to guarantee their room nights. We recommend that your guests finalise their bookings within 3 months of this agreement being issued.

*Unique booking codes linked to group accommodation bookings expire 3 months after issue.

If the room nights in this agreement are contracted, a non-refundable deposit (20% of total room spend) is due within 2 weeks of issue, and full payment due 30-days prior to your stay.

30-days prior to your stay: The resort will automatically release back to public any rooms that have not been prepaid or are missing customer personal information or payment details.

14-days prior to your stay: The resort will automatically debit all credit cards. Any room cancellations requested inside of this timeframe will either forfeit the full room cost or be entitled to a resort credit (to be used within 6 months of the original date of stay).
